Fully automated identification and processing of emails that contain booking information.
Placing maverick booking An employee is placing an off-channel booking on the web by registering with the employee’s corporate email address.
Sending confirmation The booking platform of the supplier sends an email containing the reservation confirmation to the employee’s corporate email address.
Capturing confirmation The traXess Elf configured on the corporate email server captures the email by applying a keyword logic to identify travel bookings.
Copying of confirmation If a booking confirmation is identified by the traXess Elf, a copy of the file is forwarded to traXess. The corporate email server sends the relevant email to the employee as usual.
Processing Once the copy of the email is forwarded to traXess, the traXess Booking Parser is capturing the data for the downstream services.
Validation by recipient On behalf of the corporate, traXess sends an email to the concerned employee with the travel booking to validate whether it is a private or business trip. The employee can then respond to traXess for the removal of the file if it is a private trip.
Deletion of personal record Any booking confirmation that has been captured and processed, is removed from traXess servers one month after parsing. If the owner of the data record requests removal, the record will be removed from traXess servers and downstream systems with immediate effect. The removal is documented in system logs and a confirmation is sent to the employee.
